In the old days, you hired a “Mu’aqib” (Government Expeditor), gave him 2,000 SAR, and hoped he came back with your paperwork. In 2026, that job is dead. You are the Mu’aqib. The Qiwa platform has centralized the entire process. Now, when you need to manage contracts, transfer employees, or issue work visa on qiwa, you are the one pressing the buttons.
But there is a risk: If you don’t know exactly which button to click, you aren’t just delaying your launch; you are risking non-refundable government fees. I’ve seen owners waste 4,000 SAR selecting the wrong “Profession Title” just because they guessed.
Here is the step-by-step guide to doing it right.

1. The Prerequisite: Green Zone First

- This is the standard operational title for cafes in KSA.
- Avoid: “Waiter” (Nadel) or “General Worker” (Amil Aadi). These titles can trigger different Balady health card requirements that are annoying to fix later.
- Note: Once a visa is issued with a specific title, changing it costs money. Choose wisely.
3. The “Qiwa Wallet” Top-Up Trap
You cannot pay for a visa directly with a Credit Card at the checkout. You must “Top Up” your wallet first.
- The Horror Story: You transfer 10,000 SAR on a Thursday night. The bank sends it. Qiwa doesn’t show it. You panic.
- The Reality: SADAD transfers can take time to reconcile.
- My Advice:
- Only top up during banking hours (Sunday – Thursday, 9 AM – 4 PM).
- Use the specific SADAD Number generated for your entity, not a generic one.
- If it fails, do not transfer again immediately. Wait 24 hours.
4. Digital Contracts: The 180-Day Safety Net
You cannot issue an IQAMA until the employee accepts a Digital Contract on Qiwa.
- The Probation Setting: The default is usually 90 Days.
- The Hack: Saudi Labor Law allows probation up to 180 Days if agreed in writing.
- Action: When drafting the contract, look for the “Probation Period” field. If possible, select 180 Days. If the drop-down is locked to 90, you must add a “Custom Clause” stating:
- “Both parties agree to extend the probation period to a total of 180 days.”
- Why? If your barista turns out to be lazy in Month 4, the 180-day clause saves you from paying “End of Service” benefits.
5. The “10-Day” Expiry Clock
Once you hit “Send Contract,” a timer starts.
- The Deadline: The employee has 10 Days to accept via their Qiwa Individual account.
- The Risk: If they don’t accept, the contract Auto-Cancels.
- The Hassle: You cannot just “reactivate” it. You often have to draft a new one.
- Pro Tip: WhatsApp the link to your employee immediately and stay on the phone with them until they click “Accept.”
6. Gender Visas (The “Female” Switch)
- The Rule: Visa slots are gendered. A “Male Coffee Maker” visa cannot be used for a “Female Coffee Maker.”
- The Balady Trap: Qiwa will happily sell you 5 Female visas even if your shop is a “Single Section” (Bachelor) layout.
- The Fine: If Balady inspectors find females working in a shop that isn’t licensed for mixed/female staff (proper restrooms, etc.), you get fined.
- Check: Ensure your Balady License matches your Qiwa Visa strategy.
The Verdict: DIY or Die
Do not give your Qiwa login to a stranger.
The platform is tied to your Absher and your bank account.
